In order to provide professional holistic treatments, Reflexology Space London is required to gather and retain potentially sensitive information regarding your health and wellbeing. This information will be used for the sole purpose of informing your treatment session, and associated recommendations concerning aspects of health and wellbeing.

Information to be held includes:

  • Your contact details
  • Medical history and other health-related information
  • Treatment details and related notes

How we obtain personal information and why we hold it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To inform holistic treatments and treatment plans
  • Provide advice and recommendations based on your treatment.  

Basic contact details and information are also obtained via the Reflexology Space London website, to allow contact to handle bookings

We use the information that you have given us to:

  • Provide you with the best possible treatment options, support and advice.
  • Your information WILL NOT be shared with anyone (unless required for legal processes) without explaining why this may be necessary and without obtaining your explicit consent

Law regarding children’s records (records to be kept until the child is 25 or if 17 when treated, then 26)

CNHC requirements to retain information for 8 years

  • We have a legitimate interest [i.e. our requirement to retain the information is to provide you with the best possible treatment options and advice]

As special category data is held (i.e., health-related information), the additional condition under which this information is held and used is to fulfil my role as a health and wellbeing practitioner bound under the AoR Confidentiality as defined in the AoR Code of Practice and Ethics, and CNHC regulations.

Protecting your personal data

Reflexology Space London is committed to ensuring that your personal data is secure. In order to prevent unauthorised access or disclosure, appropriate technical, physical and managerial procedures are in place to safeguard and secure information collected.

We retain your contact details, medical history and other health-related information, as well as treatment details and related notes for 8 years. We will then dispose your information through complete deletion of electronic data and manually shredding notes.

Your data protection rights

Under data protection law, you have rights including:

  • Right of access – You have the right to ask us for copies of your personal information. 
  • Right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
  • Right to erasure – You have the right to ask us to erase your personal information in certain circumstances (also known as the right to be forgotten). 
  • Right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
  • Right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  • Right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

Therapist’s rights

Please note:

  • If you do not agree to the therapist holding records of information about you and treatments received, or if you do not allow information to be used in the way required to deliver the best treatment possible, the therapist may not be able to treat you.
  • Therapists are required to hold records of treatment for certain periods as outlined above, this may mean that if you request erasure, it may not be possible until that period has passed.
  • Your therapist can move their records between their computers and IT systems without your permission if your details are protected from being seen by others.
